A guide to our data requirements for the P as C which apply to all independent companies not using the P4A system. They apply to all originations and repeats.

General Notes

Fee information MUST NOT be included on the PasC.
Contributor addresses or other contributor personal data MUST NOT be included on the PasC.
Including such information may cause a breach of the Data Protection Act as information on the PasC is in the "public domain" and accessible both internally and externally (via Information & Archives) after transmission.
You MUST amend the PasC if any of the information listed is incomplete or incorrect or amendments to the programme have been made. The PasC should be resent and redistributed as soon as a change to the information is known.

Programme Synopsis

Include a brief synopsis of the programme or plot. Titles of Sketches/Items are useful to identify any repeat fees due to artists/contributors.

Section A: Contributors

List all the contributors - including:
The full name of any contributor. For Drama this must include the name of any character(s) portrayed. For Factual, whether the interviewer, presenter etc and a brief description of the role
The name of group, orchestra etc including the conductor or musical director.
The names of any musicians/singers appearing in vision on the PasC form by instrument and voice e.g. soprano. (this should be identified in the Description field.)
The name of the musical fixer plus the number of musicians used and the date of the recording session. Or where a musical fixer is not used, the individual name of each musician booked.
All session singers.
All walk-on artists.
All stunt performers, including stunt arranger and/or co-ordinators.
All choreographers
All variety acts
All puppeteers
Supporting artists no longer need to be listed on the PasC.
However, contributors initially booked as a "Supporting Artist" and subsequently made up to a "Walk-On", or a "Walk-On" subsequently made up to a "part" must be identified as such, as the payment terms may differ (state this in the Notes section for the artist) Indicate the following
PACT/TAC/Equity agreements should be identified and any contributions contracted using the all rights contributors release form should be listed together. Where contributor were contracted for the programme but were not used or do not appear in the final version of the programme, details should be included on the PasC. This information is necessary for future repeats of the programme or if the programme is sold.
If the contribution was for a voice over or narration this should be identified with "OOV (Out of Vision)" after the name.
Repeat fees may be due to contributors for compilation programmes and programmes that have used extracts from other BBC programmes and if a repeat fee is now due, this should be indicated. (Also see Contributors for additional information required).
Extract fees may be due to artists for compilation programmes and programmes that have used extracts from other BBC programmes and if an extract fee is now due, this should be indicated. (Also see Contributors for additional information required).

Contributors within Extracts from BBC programmes

If a contributor has been identified as requiring a repeat or extract fee, it is important to list the following information in Section C: Film & Videotape .

Original programme title, episode number (if part of a series/serial) and duration.
Date of original transmission.
Original programme number for costing.
Title of sketch/item if a compilation type programme.
Duration of extract used
Names of artists/contributors appearing in the extract.
Name of producer/director of sketch/item if not the main producer/director of the programme as set out in the production information.

Section B: Copyright

List the details of scripts and existing material used in the programme.

Scripts

Include material specially written or commissioned for the programme, each item detailed separately as follows:

Title of the script.
Copyright Contract Number if Copyright contract has been issued.
Previous title(s). List any previous titles that the script was formerly known as.
Scriptwriter(s). The name of the author/s or scriptwriter/s.
Duration
Type of material (e.g. documentary script, sketch, commentary).

There are four types and they should be listed as follows:

Source Material (Including format, source books and books for dramatisations)

Title of item (if taken from a book or magazine, give title and publishing date.)
Copyright Contract Number if Copyright contract has been issued.
Author Name(s)
Translator (if relevant)
Publisher
Type of material
Nature of use, e.g. extract, dramatisation etc
Duration

Literary material

List as follows:

Title of item (if taken from book or magazine then give title of book/ magazine & publishing date)
Copyright Contract Number should be given where Copyright contract has been issued.
Author name(s)
Translator (if relevant)
Publisher (if relevant)
Type of material. For example; poem, letter, play/prose extract
Duration

Transparencies/ Stills/ Transparencies of Artistic Works (including use in Title Sequences)

List as follows:

The item subject or title.
Copyright Contract Number if Copyright contract has been issued.
Artist/photographer.
Acknowledgement. (If from a book, give acknowledgement, if from newspaper, give title, page number, issue date.)
Source. Source of photograph/artistic work e.g. agency/gallery.
Photograph Date, if known.
Reference number. If known.
Description of Use. For example, background or flash, set dressing, etc.
Duration. (if on screen for more than 15").

If using a transparency of an artistic work, list details of the artistic work and the transparency separately.

Computer Software

List as follows:

Package name. Registered name of the software package.
The copyright contract number if copyright contract has been issued.
Rights owner.
Type of material. For example; game, DTP package etc.
Description of on-screen display.
Duration

Copyright within Extracts from BBC Programme

Copyright repeat/extract fees may be due for compilation programmes and programmes that have used extracts from BBC programmes. Include the following information:

Extract Title or type of item, e.g. sketch, literary work, photo etc.
Copyright Contract Number if Copyright contract has been issued.
Original programme title
Episode title
Original programme number
Original transmission date
Extract scriptwriter/ author/ photographer/ artist (for each item)
Extract duration
Further details as appropriate to identify the use of the item

Section C: Film and Videotape

Summary

Details to include:

Shoot/recording description. Description of the make-up of the complete programme, e.g. "shot on 16mm film with VT inserts......" or "Live studio with OB inserts ... ".
Edit Details. Details of how the programme was edited and format of transmission& "shot on Beta SP, off-line and on-line edited, TX(transmit) on Digibeta" or "shot on 16mm film, transferred to Beta SP for Avid edit, TX (transmit) on Digibeta".

State whether the extract was originally purchased, i.e. not BBC specially shot.
Extract time in. The "time-in" to the programme where the extract is used.
Extract duration

Country of Origin if not BBC Archive.
Indicate whether the insert is BBC, Independent or Acquired.

Purchased Programmes (entire programmes from an outside source)

These include:

You should group inserts by copyright holder e.g. Imperial War Museum and by subject and duration of each insert.
